Teaching
Record Keeping
Record keeping is standard practice for all Trainers
however the requirements will vary for each. It is your Teaching
responsibility to check the Legal and obligatory Teaching
requirements for each course you deliver. We have
outlined some items to help you need to consider.
Why keep records?
• Auditing
• Information gathering
• Quality assurance systems
• Health & Safety management
Financial accountability
In most cases:

• Trainers are responsible for retaining all original training records that are completed by Trainer
and/or delegates. This includes signed attendance lists & assessment records.
• Programme outline/aims & outcomes/lesson plan, including practical & theory
• Trainers must keep all copies of Training material (i.e. handouts, slides). Administration
• Trainers should retain completed Evaluation Forms
• Trainers must also retain records evidencing the delegates’ competence was assessed.
• If an accident or incident occurs during training, Trainers must report to the appropriate person
and fill out relevant documentation.

o Scheme of work/lesson plan
o Register/learner profiles
o Qualifications
o Formative/summative assessment
o Learning needs analysis
o Individual Learning Plans/CPD Lesson Plans
o Training and assessment plans
